Real coaches. Real seasons. Real receipts.

Three teams in the DMV who switched to Track Club Hub this past season. Same problems you're probably wrestling with — here's what changed.

From 14 spreadsheets to 1 dashboard in two weeks.

Challenge

Six assistant coaches were each maintaining their own age-group spreadsheet. Meet recaps took 3-4 hours every Sunday night, and parent texts started rolling in by 8pm.

What changed

Bulk-imported four seasons of meet history via the AI parser, set up RBAC by age group, and turned on PB push notifications. Sunday-night digest emails replaced the manual recap.

Athlete of the Week became our retention loop.

Challenge

Mid-season attrition was the biggest pain point — kids would skip a meet, then a practice, then disappear. There was no celebration moment for kids who weren't winning races outright.

What changed

Turned on AI-Coach weekly Athlete of the Week (most-improved, not most-medals) and shareable PR cards. Coaches share the AOW post in the team WhatsApp every Monday morning.

“The AOW email pings athletes who improved by a tenth of a second — not just the fastest kids. That tiny shift kept twelve kids on the team this spring.”

Junior recruiting profiles, generated in 5 minutes.

Challenge

Seniors needed college-recruiting one-pagers but no one had time to build them in Canva. PRs were scattered across five seasons of spreadsheets.

What changed

Filled in Recruiting Profile fields (grad year, height/weight, GPA, USATF + AAU IDs, video link). Print one-pager generated cleanly from the existing share link. Sent to D2 / D3 coaches in two weeks.

How it works

Set up in one practice. Run it for the season.

Four steps from spreadsheet to weekly PB notifications. No timing system to buy, no IT setup, no spreadsheet formulas.

1

Upload your roster

CSV, Word, PDF, or paste from athletic.net — Claude reads it and pulls clean athlete records.

2

Enter results once

Drop a meet PDF or type results into a sheet. Heat/lane/wind auto-detected. Heat sheets supported.

3

PBs update automatically

We compare against every prior result and flag personal bests instantly. No formulas, no spreadsheets.

4

Parents stay in the loop

Weekly digest, push notifications when a PB lands, and a public team page parents can bookmark.

A coach's week, before and after

The work you stop doing on day one.

Three moments every track coach knows by heart — and what they look like once your team is on Track Club Hub.

Sunday night

The post-meet write-up

Old way

Open six spreadsheet tabs. Copy times one by one. Highlight PRs in yellow. Calculate improvements in your head. Type a recap email. Send. Hope no one notices the typo.

On Track Club Hub

Sunday digest auto-generated: every PR detected, every athlete-of-the-week pick written, every parent emailed. You read it on your phone with a coffee — done.

Tuesday afternoon

The lineup before a Saturday meet

Old way

Print 60 heat sheets. Re-print when an athlete swaps in for the 200m. Re-print when the meet director changes lanes. Hand them out at practice. Find half on the gym floor Wednesday.

On Track Club Hub

Build the lineup once. Auto-assign heats & lanes. Share a single QR code at practice — parents scan, see their kid's events live, no one ever calls asking again.

Friday morning after the meet

The PR celebrations

Old way

Type 40 parent emails: "Hi Mrs. Carter, Naomi ran a great 13.02 yesterday — almost a PR, just 0.04 off!" Mistype someone's name. Forget two families entirely. Get an angry text Saturday.

On Track Club Hub

Every parent got a celebration email the moment you logged the result. Naomi's mom already shared it to the family group chat. You didn't lift a finger.

Pricing

Pay for the season. Save the spreadsheets.

Every plan includes unlimited parent accounts, automatic personal-best detection, and the public team page. Cancel any time — your data stays exportable.

TCH
Built by Track Coaches

Built after years of managing weekly meet results through spreadsheets and group texts.

Track Club Hub started as a side project to replace the Sunday-night Google Sheet workflow at a youth track program in Maryland. Every feature — auto-PB detection, the Monday digest, the public team page, the parent push notifications — was built because a coach or parent asked for it during an actual season. We're not a sports-tech company guessing at the workflow. We're the program down the street that got tired of the spreadsheet.

Have something you wish your club software did? Email info@trackclubhub.com — we read every one and a lot of them ship.
